Job Specifics
Duties Description Under the supervision of a Contract Management Specialist 2, the Office Assistant 3 is responsible for performing a wide variety of clerical activities related to the administration of lease contracts. They will also be a principal assistant to the Contract Management Specialist 2. Responsibilities are varied and require the incumbent to possess attention to detail, strong written communication skills, and a familiarity with computers and Microsoft Office products.
• Review and format lease contracts and supporting documents for review by OGS Legal Services.
• Prepare letters, memos, and other correspondence relating to lease processing.
• Coordinate with the Contract Management Specialist 2 to track completed and/or next steps in the flow of lease processing.
• Format lease documents to be sent for vendor signatures.
• Request necessary financial approvals for the processing of lease contracts and following up on outstanding requests.
• File paper documents in physical lease folders.
• Monitor shared inboxes and forward correspondence to the appropriate parties.
• Perform other duties as assigned.
Minimum Qualifications Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 12 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.
