Job Specifics
Duties Description • Handles and maintains confidentiality regarding highly sensitive matters such as personnel and labor relations issues, budget information, etc. and determines what information can be released in the Chief Information Officer (CIO), Deputy Comptroller’s absence.
• Prepares confidential documents and maintains the CIO, Deputy Comptroller’s confidential, personal, and general files.
• Screens incoming correspondence and prepares answers for routine matters; refers other correspondence to the appropriate Bureau Director; secures and attaches all pertinent background material and maintains a correspondence monitoring system to ensure a timely response.
• Prepares correspondence for the CIO, Deputy Comptroller’s signature and/or carefully reviews correspondence prepared by others to ensure accuracy and consistency.
• Maintains a daily appointment calendar and coordinates all necessary travel arrangements for the CIO, Deputy Comptroller and the CIO’s direct reports.
• Coordinates all aspects of the CIO, Deputy Comptroller’s attendance at various meetings, conventions, and conferences as well as those of the CIO’s direct reports.
• Assembles and summarizes information for use by the CIO, Deputy Comptroller, at meetings and conferences.
• Schedules meetings and prepares agendas, takes minutes, and distributes minutes for feedback.
• Assists the CIO, Deputy Comptroller and direct reports with work assignments and program activities including but not limited to requesting, coordinating, and maintaining information from internal bureaus as well as external sources, tracking and monitoring the status of assignments, and following up on assignments.
• Respond to questions of a substantive and often sensitive nature regarding policies, procedures, and initiatives for the Division of the Chief Information Office.
• At the CIO, Deputy Comptroller’s direction, responds to requests from internal and external customers.
• Screens calls and greets visitors; refers callers and visitors to appropriate individual when necessary.
• Works with support staff to develop, maintain, and update administrative forms and/or office procedures such as phone lists for the bureau/division.
Minimum Qualifications Four or more years of secretarial experience of which two years must have been in support of the Bureau Director level.
An Associate’s degree in Secretarial Science may be substituted for two years of secretarial experience.

Telecommuting: The Office of the New York State Comptroller (OSC) supports telecommuting where it is reasonable to do so based upon the agency’s mission and operational needs. Generally, employees new to OSC will be restricted from telecommuting for at least 8 calendar weeks. After the initial 8 calendar week restriction, if an employee’s primary residence location, duties, and work performance are aligned with telecommuting and operational needs they may be allowed to do so. Generally, OSC employees may telecommute up to 5 days per pay period but may be approved to telecommute less.
